3 Simple Steps to Apply for a Grant

Applying for a grant doesn’t have to be complicated. We’ve streamlined the process into three clear steps so you can focus on what matters most—bringing your project or idea to life.

Whether you’re a first-time applicant or returning, our process is designed to be simple, supportive, and transparent.

Visit our Granting Programs page to explore available opportunities and choose the grant that best fits your organization’s goals. Each program page includes eligibility details, funding ranges, and timelines to help you identify the right match.

Once you’ve found the right program, submit your application through our online Grants Portal.

  • Applications must be completed by the posted deadline.
  • You’ll receive a confirmation email that your application was received within one business day. If not, please follow up with the Grants Officer at grants@cfka.org.
  • Accessibility Note: Applications can also be completed orally by appointment. Contact the Grants Officer to arrange this accommodation.

Your application will be reviewed for eligibility, then evaluated by the appropriate volunteer grants committee. Their recommendations are reviewed by our Board of Directors for final approval. From deadline to decision, the process usually takes 8–12 weeks depending on the program.

If approved, you’ll complete a Grant Agreement, plan a simple recognition activity with our staff, and later submit a Final Report. Learn more about what happens after approval.

How to Qualify

General Eligibility for All Granting Programs:

To apply to any of our granting programs, organizations must meet the following requirements. If you’re unsure whether your organization qualifies, please contact us before starting your application—we’re here to help.

CRA Registered Charity or Municipality

The lead applicant must be a registered charity with the Canada Revenue Agency or a municipality. Partnerships are welcome—a non-qualified donee may apply in partnership with a registered charity or municipality that agrees to act as the lead applicant.

Strong Local Presence

The applicant must demonstrate a strong presence in the community we serve. This can be shown through a local Board of Directors, an active and accountable local committee, or a local office with strong community involvement.

Letter of Permission (If Applicable)

Applications involving activities in primary or secondary schools must include a letter of permission from the relevant school board(s).

Previous Grants Reporting

Organizations must be up to date on reporting for any past grants from the Foundation. Final reports for completed projects must be submitted before a new application can be considered.

What's Next

Your Grant is Approved: Next Steps

Step 1: Grant Agreement

When notified that your proposal has been approved, you’ll complete a Grant Agreement Form through our Grants Portal. This agreement outlines the terms of your grant and must be submitted before funds are released.


Step 2: Final Reporting

We want to learn about the impact of your grant. Final reports are due within 30 days of your project’s completion (projects are generally expected to be completed within one year of receiving funds). You may choose how to share your results:

  • Oral Report: Schedule a conversation (in person or virtual) with the Grants Officer to reflect on the outcomes of your project. This option prioritizes learning and relationship-building over paperwork.
  • Written Report: Complete the Final Report template if you prefer a written submission.

Need more time? If unexpected circumstances affect your project timeline, please contact us as soon as possible. Extensions may be granted at the Foundation’s discretion, with a revised timeline and budget.

Notes

We no longer require a final budget or receipts to be submitted with a final report, but per CRA rules you must keep them for your records.

Final reports for the Nan Yeomans Grant for Artistic Development must be submitted to the Kingston Arts Council.


Step 3: Recognition Requirements

Recognizing the support of the Community Foundation for Kingston & Area and our donors helps build the spirit of giving in our community while promoting your project. All grantees are required to acknowledge the Foundation’s support. Options and guidelines are provided in the Grant Recognition document shared with your grant cheque and available here.


Step 4: Keep In Touch
