The Community Foundation for Kingston & Area is looking for a Donor Experience Officer. This is a full-time position located in our office in beautiful downtown Kingston. Your focus is to ensure our supporters have a positive, meaningful experience as donors. You will do this through a holistic approach based on donor relations, donor recognition and stewardship, database management, reporting and analysis, and team collaboration.

The Community Foundation is a local charitable organization that strengthens our community by connecting the generosity of donors with the energy and ideas of people and charities addressing community needs. Our endowment fund model allows us to invest in the community in perpetuity across the following impact priorities: Thriving People, Sustainable Futures, Inclusivity & Belonging, Learning & Growth, and Strengthened Non-Profits. With over $35 million in funds held in trust, the Foundation has granted over $15 million to date to over 360 charities.

WHO WE ARE LOOKING FOR:
The ideal candidate for this role is motivated to be the bridge between the Community Foundation and its supporters, ensuring that donors feel valued, understood, and deeply connected to the cause(s) they're supporting. You have a strong donor database background and a donor services and/or donor stewardship track record. You will need to have the ability to think critically, collaborate with others, and be process oriented. If you have demonstrated commitment to service excellence within the charitable or non-profit sectors, exceptional diligence, excellent analytical and problem-solving skills coupled with a desire to make a difference in the community through your work, this might be a great fit for you.

MAJOR RESPONSIBILITIES
Reporting to the Executive Director and working closely with the dedicated staff team and committed volunteers, this role will lead the development, operationalization, evaluation and optimization of donor experience programs, projects and events to help ensure that donors feel valued, that they understand the impact of their gift and feel inspired to give again and/or give more.

The Donor Experience Officer contributes to a comprehensive donor relations program that exceeds expectations through strategic acknowledgment, recognition, engagement, and stewardship—driving donor retention, loyalty, and long-term revenue growth.

DONOR EXPERIENCE (80%)

Donor Relations & Engagement
• Build and maintain relationships with a portfolio of Fund Advisors and donors.
• Execute high-volume, customized outreach plans across multiple communication channels.
• Field donor inquiries regarding CFKA mission, programs, and giving methods.
• Develop innovative recognition opportunities for current and prospective donors.
• Resolve donor issues proactively and in a timely, donor-focused manner.
• Identify and cultivate leads for Planned Giving and Major Gifts.

Fund Advisor Relations
• Serve as primary liaison for Donor Portal and Fund Advisor support.
• Facilitate granting through Donor Advised Funds (DAFs) and Donor Designated Funds.
• Collaborate with Grants Officers to provide meaningful granting opportunities.
• Create and send annual fund statements to Fund Advisor contacts.

Communications & Stewardship
• Support creation of donor communications including Community Impact Report, e-newsletters, and impact stories.
• Send tribute and memorial acknowledgment cards by mail or email.
• Coordinate mass and targeted fundraising appeals.
• Develop strong print and digital communications demonstrating granting program and donor impact.
• Support donor events (virtual and in-person)

DATA MANAGEMENT & REPORTING (20%)

Gift Processing & Data Management
• In collaboration with the Administrative Coordinator, process and batch all donations (online, offline, monthly, and event registrations) in CommunitySuite database.
• Ensure accurate and consistent data entry for all constituents.
• Act as backup support to deposit cheques and maintain precise financial records.
• Generate and distribute tax receipts and letters of acknowledgment.
• Maintain appropriate record-keeping in donor database and shared drives.
• Run queries and reports to support trend analysis and retention strategies.

Reporting & Strategic Support
• Prepare scheduled reports on donor trends and statistical information.
• Conduct research and analysis to support philanthropic strategies.
• Generate intelligence in database to drive retention measures.
• Support implementation of short- and long-term fund development strategies.
• Manage confidential and sensitive information affecting operations and external relations.

THE IDEAL CANDIDATE WILL HAVE:
• 3 to 5 years’ experience developing and managing donor experience portfolios, fundraising, and/or event.
• Demonstrated experience working in the not-for-profit sector (knowledge of Kingston area charities is an asset).
• Demonstrated experience and proficiency with donor CRM databases (e.g. Blackbaud RE, CSuite, DonorPerfect, etc), and familiarity using a moves-management approach within databases.
• Strong verbal and written communication skills; excellent interpersonal skills.
• Demonstrated ability to work with diverse groups of people (community members, volunteers, donors).
• Proficient with MS Office Suite, notably intermediate to advanced level Excel.
• Experience with Canva an asset.
• High degree of professionalism, accuracy and confidentiality.
• Solid organizational skills, exceptional attention to detail, proven ability to produce high quality reports and documents.
• Initiative, collaborative team approach and effective problem-solving skills.
• Completion of one of post-secondary degree, or diploma, or equivalent experience. Internationally trained professionals and/or applicants with equivalent international experience are welcomed to apply.
 
Vaccination Policy
Please be advised that the Community Foundation for Kingston & Area has a vaccination policy in place, and all employees are required to provide proof of COVID-19 vaccination status, or a relevant exemption from a qualified healthcare practitioner.

Salary Range:
$58,000 - $72,000 (37.5 hours per week).
Compensation includes group insurance benefits plan (Health, AD&D and Life) available after probationary period.
